
Dear future guest, please note a number of rules for staying at our hotel. Before check-in, please read them, and we wish you a pleasant stay.
General Provisions
1.1. These Rules have been developed on the basis of the current legislation of Ukraine and taking into account the requirements of the Council of the International Hotel Association.
1.2. The MEDVINO Hotel guarantees guests compliance with all confidentiality rules.
1.3. Smoking in the hotel, except in specially designated areas, is prohibited.
1.4. The hotel administration reserves the right to impose a fine on guests for violating fire safety regulations, smoking in prohibited areas, and failing to comply with the lawful requirements of the administration.
1.5. Guests should remember that there are woods and pastures near the Hotel, where wild animals and insects may be present. Please be careful. In the event of a bite from a wild animal or insects, comply with clause 10.3. of these Rules.
2. HOTEL ACCOMMODATION PROCEDURE
2.1. For the purpose of maintaining order and safety in the hotel, it is prohibited to:
– Smoke in rooms, halls, and hotel premises, except in specially designated areas.
– Use electrical appliances in the room except those permitted for use.
– Give the room key card to third parties.
– Store flammable materials in the room.
– Bring onto the hotel grounds or store in the room materials and items that are dangerous to the life and health of others.
– Rearrange or remove furniture from the room.
– Violate generally accepted standards of conduct, including being on the hotel grounds under the influence of narcotic substances.
– Display aggressive behavior that threatens the safety, health, or property of other persons.
– Commit actions that disturb peace and interfere with other guests (loud conversations, listening to music after 22:00);
– Cause damage to hotel property.
– Accommodate guests in the room after 23:00 without payment and registration of their stay at the hotel.
– Stay in the room without payment after the booking period has ended, after 12:00 noon.
– Take hotel property as a “souvenir”.
2.2. When children up to and including 2 years old stay with their parents in the same room without a separate bed, no accommodation fee is charged for the children.
2.3. Hotel rooms of the same type may differ slightly in interior design.
2.4. The room rate includes: provision of a room for accommodation, meals (breakfast), and wireless Internet access.
2.5. The tourist tax is paid additionally, and its amount is determined by applicable law.
3. Identification upon check-in
3.1. Upon check-in, the Guest must provide the hotel administration with identity documents (passport, driver’s license, international passport).
3.2. Payment for hotel services is made at the prices and rates established by the Service Provider. The Service Provider reserves the right to make changes to rates and prices.
3.3. Changing the check-in date is possible only upon agreement with the Hotel and must be made no later than 1 (one) day before the guest’s arrival.
3.4. If an extension of stay or a change of guest check-in date has not been ordered in advance, the Hotel reserves the right to refuse to extend the stay.
3.5. Upon check-in to the room, the Guest must provide original identity documents so that copies of the relevant documents can be made. In accordance with these hotel accommodation rules, the guest confirms that: – he/she is aware of his/her rights as a personal data subject, as defined by the Law of Ukraine “On Personal Data Protection”, the purpose of collecting such data, and the persons to whom his/her personal data may be transferred; – the guest gives consent for the Hotel to include his/her personal data (the information provided) in the Hotel’s personal data database – “Counterparties” – for the purpose of ensuring the implementation of administrative-law, tax, accounting, and audit relations; – the Hotel confirms that the guest’s personal data will not be transferred to other persons and will be used only in the cases specified above.
4. Check-in / Check-out
4.1. Check-in time is 15:00 local time.
4.2. Check-out time is 12:00 local time.
4.3. If the guest stays in the room after the established check-out time has expired, the guest must pay for late check-out in the amount established by the hotel.
Extension of stay, early departure:
– the guest has the right to extend the stay period (subject to agreement with the administrator);
– the guest must make full payment for consumed goods and services at the hotel reception;
5. Early check-in and late check-out
5.1. For travelers who arrive before the check-in time (before 15:00), we offer the paid service “Early Check-in” so that they can begin a full rest as soon as possible. Please note that this service must be booked in advance.
5.2. Guests who, for certain reasons, need to stay at the hotel after the check-out time (12:00) are offered the “Late Check-out” service until 18:00. This service must be booked in advance.
5.3. The cost of the “Early Check-in” and “Late Check-out” services depends on the category of the room in which the guest is staying.
6. Accommodation of children
6.1. Children under 2 years old stay in the room with their parents free of charge.
6.2. For the stay of a child aged 3 years and older in the room, an additional payment is charged according to the Service Provider’s rates for each child, for breakfast and provision of an extra bed.
6.3. The possibility of an extra bed or baby cot must be agreed with the administration.
6.5. All children under the age of 16 must be in the hotel accompanied by an adult.
7. Accommodation with pets
7.1. In the Hotel, pets are recognized only as decorative and small-breed dogs weighing up to 10 kg and approximately 15-30 cm tall at the withers.
Accommodation in the Hotel with fighting-breed animals, as well as other aggressive animal breeds, is prohibited.
The Hotel reserves the right to determine whether an animal may stay in the room. Staying at the hotel with fighting-breed dogs is prohibited.
7.2. The Hotel allows people to stay together with domestic animals that help meet their needs (guide dogs or other animals).
7.3. When checking in to the Hotel with pets, the guest must read these rules and sign the registration card upon check-in, confirming consent to these rules.
7.4. Accommodation with a pet is allowed only if the guest has provided standard veterinary service documents that comply with the legislation of Ukraine. The Hotel has the right to request this information at any time.
7.5. The guest must bring a special mat or cage for the pet.
7.6. After walking the pet, the guest must collect excrement in a special bag and dispose of it in a trash bin.
7.7. To feed the pet, the guest must bring special dishes or order them at the reception.
7.8. Feeding pets from restaurant dishes is strictly prohibited.
7.9. Taking pets into the restaurant or swimming pool is prohibited.
7.10. Using the Hotel’s towels, sheets, and other bedding items after washing an animal is prohibited. A towel for the animal is provided by the Hotel upon the Guest’s request.
7.11. Grooming pets in the rooms or hotel lobby is prohibited.
7. 12. Pets are not allowed to remain in the room during cleaning or repair work.
7.13. The Guest bears full responsibility for any damage caused by the animal. When checking in to the Hotel with a pet, the guest must pay a cash advance of 5,000 (five thousand) hryvnias against possible risks of damage to Hotel property. The cash deposit is returned at the end of the stay at the Hotel if no damage is present. In the event of serious damage, the guest must reimburse all costs associated with the consequences of the damage.
7.14. In addition to the amount specified in clause 13, the guest must pay other fees provided for by the price list (for every 3 days of stay) for general cleaning, which is carried out by a Hotel employee after the departure of the guest who stayed with an animal, in order to prepare the room for the next guest’s check-in.
7.15. The Hotel reserves the right to refuse services to guests staying with an animal in the event of:
– violation of the accommodation rules;
– aggressive, inappropriate, or noisy behavior of the animal.
8. Smoking
8.1. Smoking, as well as the use of vapes and tobacco heating systems in rooms and other hotel premises, is prohibited, except in specially designated areas.
8.2. In case of violation of the requirement specified in clause 8.1., the Hotel will be forced to charge the guest a fee of 5,000 hryvnias.
8.3. For systematic violation of this rule, the hotel administration has the right to evict the guest from the hotel without refunding the accommodation payment.
9. SPA SERVICES
9.1. Visiting hours for the SPA zone are 12:00-23:00. Guests with medical contraindications, any signs of illness, as well as guests under the influence of alcohol, narcotics, or toxic substances, are prohibited from using the jacuzzi, hammam, sauna, and cold plunge pool. The Hotel is not responsible for harm caused to the guest’s health or for an accident occurring while the guest uses the jacuzzi, hammam, sauna, or cold plunge pool.
9.2. It is MANDATORY to take a shower and remove all jewelry before visiting the baths and jacuzzi, for your own safety and the safety of other residents.
9.3. It is strictly prohibited to use glassware from the restaurant in the SPA zone.
9.4. SPA visits are recommended for persons who have reached 16 years of age. SPA visits with children are allowed only under parental supervision and responsibility.
10. Safety
10.1. The Guest is prohibited from bringing and storing flammable items in the room and from bringing onto the hotel grounds materials and items that pose a danger to the life and health of others and of the guest himself/herself.
10.2. The Hotel is not responsible for the loss of the guest’s money, currency valuables, securities, jewelry, or other valuables.
10.3. Guests should remember that there are woods and pastures near the Hotel, where wild animals and insects may be present. Please be careful, especially during the warm season.
In the event of a bite from a wild animal or insects, immediately contact the administrator.
Recommendations of the Ministry of Health in case of insect or snake bites:
Insect bites
Bites from most insects cause itching and swelling, which usually disappear within a few hours or days, so the following simple actions are sufficient to ease discomfort:
Wash the bite area with water and apply a cold compress to reduce swelling.
If the bite site is swollen and very painful, take pain relievers (for example, paracetamol or ibuprofen) and antihistamines.
If the insect left a stinger, remove it with a sliding motion using a fingernail or the edge of a bank card, rather than pulling it out. Do not use tweezers for this, as you may squeeze venom from the stinger.
The main danger from insect bites is a possible serious allergic reaction.
To avoid insect bites during walks, use repellents.
Snake bites
Three species of venomous vipers live in Ukraine. They are found throughout the country and are active from April to October. The highest chances of encountering them are in April-May and in September.
The venom of vipers living in Ukraine is dangerous, but in most cases it is not fatal. Very serious consequences occur rarely, and fatal outcomes occur in exceptional cases due to individual reactions, chronic diseases, and in the absence of medical assistance. Bites are especially dangerous for children, elderly people, and people prone to allergic reactions.
Algorithm of actions in case of a snake bite:
Ensure that the injured person remains calm and moves as little as possible.
Immobilize the part of the body where the bite is located. This may slow the spread of venom if the snake is venomous.
Free the affected part of the body from clothing, shoes, jewelry, etc.
Apply a clean, sterile bandage to the bite site.
Give the injured person plenty of water.
If possible, urgently transport the injured person to a medical facility or monitor them until the ambulance arrives.
What NOT to do:
Do not try to suck out the venom.
Do not apply a tourniquet to the wound.
How to protect yourself from snake bites
Remember: snakes do not attack first and show aggression only when they are in danger.
11. Lost items
11.1. If a guest’s forgotten items are found, the hotel immediately notifies the owner, if known.
11.2. Forgotten items with an unlimited storage period are stored at the hotel for 6 months. After this period expires and if the owner of the forgotten items has not been identified, the hotel has the right to dispose of these items by drawing up the relevant act.
12. Hotel property
12.1. The Guest must take care of Hotel property.
12.2. In case of loss or damage to hotel property, the guest compensates the losses in full according to the value of the lost property and/or the cost of restorative repair.
12.3. The Guest is also responsible for damage caused to hotel property by his/her family members and visitors.
13. Internal rules of hotel accommodation
From 23:00 to 08:00 in the morning, a quiet hours regime must be observed inside the hotel and on its grounds. During this time, turning on audio systems and televisions at high volume in the rooms is prohibited.
Hotel visitors may receive guests from 08:00 to 22:00. The person staying in the room must consent to the arrival of guests, and the administrator keeps a record of all hotel guests. The person staying in the room is responsible for the guest. If necessary, the administrator has the right to check the guest’s documents.
14. ENTRY AND PARKING OF MOTOR VEHICLES
14.1. It is strictly prohibited to leave vehicles at entrances and exits, internal driveways, near the accommodation building (parking for no more than 15 minutes), restaurant building, and other hotel buildings.
14.2. For violation of stopping and parking rules, a fine of 500 UAH is provided. In the event of a repeated violation of this kind, the Hotel administration has the right to evict the guest.
15. RIGHTS AND OBLIGATIONS OF THE HOTEL ADMINISTRATION
15.1. Hotel staff are obliged to inform guests about the provision of services and about the form and procedure for payment at the time of guest check-in to the Hotel.
15.2. The Hotel administration is responsible for the completeness and serviceability of equipment in the rooms, as well as for the quality of preparing rooms for check-in.
15.3. The Hotel administration reserves the right to enter the room without the Guest’s consent in the event of smoke, fire, or flooding in the room, as well as in the event of violation of the current Accommodation Rules and general order, or violation of the rules for using household electrical appliances; if electrical appliances that are not included in the room equipment or candles are found, the administration has the right to remove them without the resident’s consent and return them upon check-out from the Hotel. Also, after the guest’s stay period has ended after 12:00 (if the guest has not used the late check-out service).
15.5. If the Guest repeatedly violates the Hotel Accommodation Rules, resulting in material damage and causing inconvenience to other consumers, the Hotel has the right to refuse accommodation or evict the guest without compensation for the cost of the paid accommodation.
16. USE OF THE BARBECUE GRILL
16.1. Guests are prohibited from making a fire outside specially designated areas.
16.2. Before starting to use the barbecue grill, Guests must check that a fire extinguisher is available.
16.3. When using the barbecue grill, fire safety rules must be strictly followed. It is prohibited to make a fire that may cause surrounding trees, grass, and Hotel premises to ignite, or that may cause burns to nearby people.
16.4. After using the barbecue grill, the barbecue grill user must pour water over the coals remaining in the grill.
17. Confidentiality
17.1. The Hotel complies with confidentiality rules.
17.2. The Hotel may request the guest’s personal data, including surname, first name and contact information, date of birth, check-in and check-out dates, upon check-in to the hotel. The guest’s personal data may be used for the purpose of room booking. The guest’s personal data may also be used to improve the quality of hotel services and conduct marketing research. Information may be provided to third parties in exceptional cases provided for by the current legislation of Ukraine, only with the guest’s permission and by court decision.
17.3. For violation of these accommodation rules, the hotel administration reserves the right to evict the guest from the room without refunding the accommodation payment.
